In OrgHQ, you can view and manage all memberships, including their statuses and renewal settings.
To check which memberships are currently active, navigate to Memberships > View Members and filter by the status "Active." You can also filter by other statuses to monitor and manage your memberships effectively.
Membership statuses
Each membership can have one of the following statuses:
- Active: The membership is currently active.
- Reprocessing: Inactive membership where GiveNow will attempt to take payment again. Only relevant for automatic renewals.
- Lapsed: Inactive membership that has passed its renewal date but can still be manually renewed by the member.
- Expired: Inactive membership that has passed its renewal date and cannot be renewed.
- Failed: Inactive membership where the renewal payment attempt failed.
- Closed: Inactive membership because the organisation has stopped offering that membership type.
- Cancelled: Inactive membership manually cancelled by the organisation.
Membership renewal options
When setting up or managing memberships, you can choose from these renewal options:
- Non-renewable: The membership does not renew after the initial term. This is the only option available for one-off memberships.
- Automatic renewal: The membership will automatically renew at the end of each term. If a renewal payment fails, the membership status will change to "Reprocessing" while GiveNow attempts to collect the payment again. They will receive a a renewal reminder email 17 days prior to expiry.
- Manual renewal: Members need to manually renew their membership at the end of each term. They will receive a a renewal prompt email 7 days and 1 day prior to expiry.
Note: For annual memberships, there is an option to set a fixed renewal date (e.g. 1 January), ensuring that all members renew on the same date each year. If this option is not selected, members will renew on their individual anniversary dates.
Monitor and manage memberships
- To view active memberships, go to Memberships > View Members and filter by "Active."
- To manage memberships that may require action, such as those with failed payments, you can filter by statuses like "Reprocessing," "Lapsed," "Failed," or "Cancelled."
- Regularly check lapsed or expired memberships to identify opportunities to reach out to members and encourage them to renew.
